Privacy Policy

1. Introduction

Zuko provides tools for structured co-parenting communication, scheduling, parenting time, requests, accountability, expense management, documentation, and record keeping. This Privacy Policy explains how Zuko collects, uses, shares, protects, and retains information when you use the mobile app, website, or account portal.

2. Information We Collect

Zuko collects information needed to provide the service. This may include your name, email address, phone number, profile and authentication information, contact preferences, physical addresses you choose to enter, subscription and transaction records, co-parent connection information, and child profile information such as names and dates of birth. Zuko also processes messages, requests, decisions, expenses and other financial records, calendar events, parenting-time records, accountability records, documents, photographs, audit history, notification preferences, and support communications.

3. Sensitive Information You Provide

Co-parenting records can be sensitive. Content you choose to enter or upload may include private communications, child-related information, schedules, locations, financial information, medical or health-related documents, images, notes, and records connected to family or legal matters. Zuko processes this content only to provide the features you request, maintain authorized shared records, protect the service, and meet applicable legal obligations.

4. Mobile App Permissions

Depending on enabled features, Zuko may request access to device capabilities such as notifications, camera access, file access, storage access, biometric authentication, or other permissions necessary for platform functionality. Permissions may generally be controlled through device settings.

5. How Information Is Used

Information may be used to create and authenticate accounts, operate platform features, connect authorized co-parents, synchronize records between devices, maintain structured communication and accountability workflows, generate user-requested reports, deliver notifications, process subscriptions, provide support, improve reliability, prevent misuse, maintain security, and record access to sensitive documents and generated reports.

6. Private Workspaces and Access Controls

Zuko uses authenticated accounts, connection relationships, workspace permissions, and access controls intended to restrict information visibility to authorized users and approved participants.

7. Storage and Security

Information is stored using secure infrastructure and protected using authentication controls, access restrictions, encrypted communications, monitoring systems, and technical safeguards intended to reduce unauthorized access, disclosure, alteration, or loss.

8. Encryption and Protection Measures

Zuko uses encryption during data transmission and technical protections designed to safeguard sensitive records, communication history, schedules, and uploaded content. No security measure can guarantee absolute protection, and users should maintain the security of their devices and account credentials.

9. Infrastructure and Service Providers

Zuko uses service providers for hosting, database operation, document storage, payment processing, email delivery, analytics, and push notifications. These providers process information only as necessary to deliver their services to Zuko and are subject to their applicable terms, privacy commitments, and security controls. Postmark delivers Zuko emails and may provide delivery, bounce, spam-complaint, and, for campaign emails, approximate open and link-click events.

10. Data Sharing

Zuko does not sell personal information, communication records, schedules, documents, expenses, or user-generated content. Information is only shared where necessary to provide platform functionality, maintain service operations, comply with legal obligations, or protect platform integrity.

11. Legal Requests and Compliance

Information may be disclosed when required by applicable law, court order, subpoena, regulatory requirement, legal process, or where disclosure is reasonably necessary to protect legal rights, user safety, platform operations, or prevent misuse.

12. Analytics and Technical Information

The mobile app uses Google Firebase Analytics to understand general app usage and feature engagement. Firebase Analytics may process a pseudonymous app-installation identifier, automatically collected app and device details, app opens, screen views, feature events, session activity, and an approximate geographic area derived from network information such as an IP address. Zuko does not send its authenticated account identifier, names, email addresses, phone numbers, message text, document contents, child information, workspace or record identifiers, access codes, or authentication tokens to Firebase Analytics. Zuko does not associate Firebase Analytics events with a user's Zuko account. For campaign emails, Postmark may report delivery, approximate opens, and link clicks. Open data may be affected by email-provider privacy features. These metrics are used for campaign evaluation and service improvement, not advertising or cross-company behavioral tracking.

13. AI-Assisted Message Review

If you enable AI-assisted message review, the text of an outgoing message draft is sent through Zuko's authenticated API to OpenRouter and a selected AI model provider to generate tone guidance or a suggested rewrite. Zuko requires zero-data-retention routing for these requests and does not send the draft to Firebase Analytics. Zuko records limited operational metadata about the review, such as the account and workspace involved, model and provider, character counts, risk level, success or failure, and related audit information, but does not store the draft text in its AI usage log. AI guidance is optional, may be inaccurate, and never sends a message on your behalf. Automatic tone checks can be disabled in app settings.

14. Push Notifications

If you enable push notifications, Zuko uses Firebase Cloud Messaging and, on Apple devices, Apple Push Notification service to deliver them. A registration token that uniquely identifies an app installation, together with the device platform, is stored by Zuko and associated with the authenticated account so notifications can be routed to the correct device. Registration tokens are security-sensitive and are not used for advertising. Notification previews may be controlled through device settings.

15. Website Cookies, Analytics, and Authentication

Zuko uses essential cookies and similar technologies for website and portal authentication, account security, session management, routing, and fraud prevention. These include secure HTTP-only cookies used to maintain authenticated sessions. With your consent, the public website may also use Google Analytics to understand general website activity such as pages visited, traffic patterns, device or browser type, and performance trends. You may accept or decline optional analytics cookies through the website cookie notice and manage cookies through browser settings. Blocking essential cookies may prevent account portal features from working. Zuko does not use advertising cookies or third-party behavioral tracking cookies.

16. Service Communications

Zuko may send service-related notifications, security alerts, authentication messages, billing notifications, system messages, and account communications necessary for operation of the platform. Zuko records delivery, bounce, and spam-complaint events for eligible operational emails. Sensitive emails, including verification, password, billing, safety, account-closure, and co-parent invitation emails, are excluded from open and click tracking. Separately, Zuko may send occasional product updates, helpful resources, and offers by email or push notification only when you have opted in. You can withdraw optional marketing consent at any time in the mobile app or account portal. Withdrawing optional marketing consent does not stop required service, security, authentication, billing, or account communications.

17. Data Retention

Information is retained for as long as reasonably necessary to provide the service and for operational continuity, synchronization, audit history, document and report access records, fraud prevention, backups, subscription management, dispute resolution, legal compliance, platform security, and service reliability. Email delivery and campaign engagement records are retained for a limited period configured by Zuko and then deleted or anonymized, subject to legal holds, security needs, or other lawful retention requirements. When account closure is requested, Zuko applies a 10-day review window. During that period, the user may sign in and cancel the request. After the window ends, personal profile and authentication information is anonymized or deleted, access is revoked, and active subscriptions are ended. Retention periods vary according to the type of information and the reason it is processed.

18. Shared Records and Collaborative Data

Zuko is designed around shared workspaces and collaborative records between authorized participants. Messages, parenting-time records, accountability records, expenses, requests, documents, calendar events, audit history, and other shared records may continue to exist within a workspace if a participant removes access, disconnects, switches workspaces, or closes an account. Shared records may be maintained where necessary to preserve workspace integrity, historical continuity, auditability, and authorized access for remaining participants.

19. International Processing

Zuko and its service providers may store or process information outside the user's country of residence. Where required, Zuko relies on contractual and organizational safeguards appropriate to those transfers.

20. Account Security Responsibilities

Users remain responsible for protecting passwords, maintaining device security, controlling access to authenticated sessions, and ensuring uploaded information is lawful and authorized.

21. Children's Information

Zuko is intended for use by adults and is not directed to children. Child-related information entered into the platform must be submitted by an authorized adult for co-parenting, scheduling, documentation, or record-management purposes. Children should not create accounts or submit information directly to Zuko.

22. Your Rights and Choices

Subject to applicable law, users may request access to or correction of account information, manage notification permissions, manage optional marketing email and push preferences, update subscription preferences, request account closure, or ask questions about the handling of their personal information. Optional marketing preferences are separate from service, security, billing, and account communications. Certain shared, legal, security, billing, or audit records may not be immediately deletable.

23. Account Closure and Data Requests

Users may request account closure through available platform procedures. A 10-day review window begins when the request is submitted. The user may sign in and cancel the request during that window. After 10 days, the closure process is permanent and personal profile and authentication information is anonymized or deleted. Zuko revokes account access and ends active subscriptions, but closing a Zuko account does not automatically cancel a subscription purchased through an app store or other payment provider. Shared workspace records, messages, documents, requests, calendar events, expenses, accountability records, billing and transaction records, legal acceptances, safety records, audit history, and information required for legal compliance or security may remain available to authorized participants or be retained for the purposes described in this policy.

24. Changes to This Policy

This Privacy Policy may be updated to reflect changes in the service, providers, or legal requirements. The effective date and version will be updated when changes are published, and Zuko may require users to acknowledge a revised policy.

26. Safety Reports and Blocking

Zuko allows users to report received messages and block direct messaging. When a report is submitted, Zuko may process the report category, optional details, the reported message and conversation references, the reporter and reported account references, timestamps, and review or resolution information. This information is used to review safety concerns, prevent misuse, protect users, enforce our Terms of Use, and maintain platform integrity. Safety reports may be retained for as long as reasonably necessary for these purposes, legal compliance, dispute resolution, and security.

27. Partner Campaigns and Trial Programs

Zuko may operate short-term partner campaigns and trial programs. These programs may collect eligibility information, participant names and email addresses, selected phone platform, invitation activity, account links, offer redemption status, feedback, testimonials, optional name attribution, and campaign email delivery and engagement metrics. Zuko does not collect Apple ID, Google account, or store-account email addresses for campaign enrollment. When a participant submits testimonial text, that submission is consent for Zuko to use the testimonial. Name attribution is a separate opt-in; without that opt-in, the testimonial is used anonymously. Authorized campaign administrators may see aggregate and participant-level campaign email counts, including sent, delivered, approximate opened, clicked, and bounced messages. A campaign-specific privacy notice may provide additional details and supplements this Privacy Policy. Campaign invitations and trial offers may expire, and campaign records may be retained for eligibility verification, support, security, fraud prevention, reporting, dispute resolution, and legal obligations.
